Academic Referencing Guide

How to Use a Citation Generator Correctly

Why citation tools save time, what to double-check after generating a reference and how to verify source information against your institution's requirements.

1How Citation Generators Work

Citation generators query open academic metadata databases — primarily Crossref (for DOIs) and OpenLibrary/OpenAlex (for ISBNs) — to auto-fill author names, titles, dates, volume numbers and DOIs. This saves significant time, but no parser is 100% accurate. The key is knowing what to check after generation.

2The 3-Step Quality Control Protocol

After generating any citation, run this quick audit:

  1. Review the confirmation drawer: Open the metadata panel in your citation generator. Check that all fields — authors, year, title, journal name, volume, issue, pages, DOI — match the original source.
  2. Fix ALL-CAPS titles: Many scrapers return titles in uppercase. Convert to sentence case (APA) or sentence case with single quotes (Harvard).
  3. Correct corporate author names: Auto-parsers often split corporate names incorrectly (e.g., "World Health Organization" → "Organization, W. H."). Manually restore the full name.

3What to Check After Generating

FieldCommon ErrorWhat to Do
AuthorsCorporate names split into surname/initialsRestore the full organisation name.
YearYear extracted from website metadata instead of publication dateCheck the PDF or original source for the actual publication year.
